We’re looking for an HR Shared Services Advisor to join our team in Northampton. This is a great opportunity if you’d like to build on your existing knowledge of HR, or perhaps you come from a customer service background, used to dealing with calls and have an interest in entering an HR role.
As HR Shared Services Advisor, you’ll be talking to managers and colleagues and resolving their queries raised by them either through the HR Portal, on the phone or by email. You’ll escalate any queries you’re unable to resolve to SME (Subject Matter Experts). You’ll also be completing HR Administration tasks such as maternity administration, redundancy calculations and generating contracts. Your time will be split between HR Services calls & portal queries and administration.

Key Accountabilities:

  • Working to SLAs, be the first point of contact for colleague & line manager queries
  • Using the online ticketing system, maintain accurate records of calls with colleagues and managers to support effective query resolution
  • As part of resolving queries, educate colleagues and managers in self help tools available
  • Complete HR Administrative tasks such as employment references, subject access requests, redundancy calculations
  • Take part in continuous improvement activities to maintain and improve performance of the team, and the experience of colleagues and managers using the service
  • Administer employee lifecycle events such as maternity, paternity leave liaising with specialist teams where appropriate e.g. payroll, SDWorx
  • Generate employment contracts from the HR System and upload to candidate portal
  • Process benefits such as cycle to work, eyecare vouchers and liaise with 3rd party providers as necessary.
What are we looking for:

Preferably studying towards your CIPD qualification or with a strong interest to start a CIPD qualification, we’d also like you to:

  • Have worked in a customer service or Ask HR service
  • Have managed high volumes of queries through various channels
  • Have experience resolving queries, sometimes complex, by listening well and asking relevant questions
  • Have passion for great customer service
  • Be engaging with strong communication skills (verbal & written)
  • Have good IT skills (working with HR portal & ticketing tool)
  • Strong attention to detail and demonstrate initiative
  • Ideally used a ticketing system to log and manage queries
  • Show empathy for colleagues and managers personal circumstances
  • An ability to multitask to switch between multiple systems while helping customers and also switch channels frequently – e.g. from the phone to email
  • Remain calm under pressure and be adaptable to peak demands
  • Wants to resolve queries but knows when to escalate
